Job Description:
Job Title: Accounting Coordinator
Department: Materials
Reports To: Materials Scheduling Manager
Location: Des Moines, Iowa
FLSA Status: Exempt / Non-Exempt (depending on scope)
Position Summary
Responsible for daily accounts payable and accounts receivable in a fast-paced medical manufacturing environment. Assists an external accounting firm with reporting and financial documentation as needed. This role requires attention to detail, accuracy and time management skills. Must be able to work independently and collaborate in a centralized support setting while interfacing with customers, vendors and cross functional teams.
Key Responsibilities:
Accounts Payable
Process vendor invoices accurately and timely.
Match invoices to purchase orders and ERP receipts.
Resolve invoice discrepancies.
Process weekly check run including ACH and Wire transfers.
Ensure W-9 and tax exempt forms are on file.
Balance checking accounts and credit cards monthly.
Respond to vendor account inquiries.
Research previously processed invoices/information and determine appropriate account status.
Purchase of all indirect supplies and equipment.
Accounts Receivable
Invoice shipments on a daily basis; ensure accurate pricing is used.
Post checks and electronically deposit via bank.
Post payment received via ACH and Wire bank account and ERP system.
Follow up on past-due customer accounts via email and phone.
Maintain AR ageing reports and share with management.
Collaborate with other departments for project invoicing.
Invoice customers for tooling requisitions.
General Accounting
Assist offsite contracted accountants with month-end and year-end closeout tasks and account reconciliations.
Support with audits, reporting and special projects.
Perform other accounting-related tasks as assigned.
Administrative Support
Place orders for supply items as required.
Assist as a backup for other functions within the Material Scheduling Department.
Interact with company president on financial updates.
Other job responsibilities may be added to the above job description as required at the direction of the Materials Scheduling Manager.
Experience and Skills:
Qualifications:
Bachelor’s degree in Accounting, Finance or a related field preferred.
2+ years of accounting, AP/AR or bookkeeping experience.
Possess strong attention to detail and organizational skills.
Proven commitment to customer service with precision and high productivity.
Excellent communication skills.
Prioritize multiple tasks in a fast-paced environment with precision and high productivity.
Ability to communicate professionally with others within and outside the company.
Strong knowledge of computer software, Microsoft Excel and Outlook and online bank systems.
Maintain confidentiality and demonstrate high ethical standards.
Must be reliable, professional and exemplify good attendance.
